Key Date Stocktaking

Complete inventory count of all storage places at a specific key date.

Purpose

  • Determine all inventory of a company at a specific key date.
  • Inventory is recorded and valued both quantitatively and in terms of value.

Description

The key date stocktaking is typically performed at the end of the fiscal year and takes 1–5 days depending on the number of personnel and scope. As a variation of the classic key date stocktaking, there is the time-shifted stocktaking: this may take place up to 3 months before and 2 months after the balance sheet date and must be applied for (regulated under commercial law). In SIEVERS WMS, this is handled in the same way as a key date stocktaking.

Prerequisites

  • All non-stocktaking processes are suspended.
  • No active reservations in the areas to be counted.

Documents

Preparation (1–10 days before)

  1. Preparation of storage place inventory

    • Pre-count, measure, and weigh partial units and mark with labels.
    • Place all PTUs/SSCCs separately from load carriers.
    • Ensure that no reservations exist.
  2. Day before (evening)

    • Cancel or complete all outbound stock posts, inbound stock posts, and move jobs.
  3. 5–10 days before: Assign stocktaking team

    • Form counting teams of 2 employees each (1 counter, 1 writer).
    • Set up WMS Teams for the stocktaking.
  4. 5–10 days before: Demarcation on warehouse plan

    • Perform demarcation in the system.
    • Assign teams to demarcated counting areas.
    • Post count lists on the stocktaking board.
  5. Prepare stocktaking briefing

    • Create a description of the stocktaking process for the auditor.

Execution

  1. Create stocktaking – Stocktaking management creates the key date stocktaking and demarcates the area.
  2. Print and distribute count lists – Document-oriented or document-free.
  3. Count on MDE device – Open B5 Stocktaking, select stocktaking team, work through storage places.
  4. Check discrepancies – When threshold values are exceeded, a second count is automatically initiated.
  5. Post – Post New Inventory Stocktaking.
Hinweis

During the key date stocktaking, no other warehouse processes can be carried out in the demarcated area. For ongoing stocktaking without operational interruption, use the Empty Storage Place Stocktaking.
