Pre-Advised Warehouse Receipt
The pre-advised warehouse receipt enables early planning and recording of incoming goods on the basis of advance delivery notices.
Purpose
The pre-advised warehouse receipt simplifies preparation and speeds up the availability of goods after arrival. Through early pre-advice, the delivery can be efficiently organized and pre-recorded in the system. This can be done via a DESADV message, a delivery portal, or manually by email.
Prerequisites
For the pre-advised warehouse receipt, the status must be set to "advised" and an expected arrival time must be stored.
Process Flow
Pre-advice of the delivery
- The supplier sends an announcement of the delivery via DESADV (EDI), a delivery portal, or by email.
- Recording in the system with a planned goods receipt date.
Preparation for arrival
- Identification of the affected orders and items.
- Checking for possible discrepancies and early clarification with purchasing.
Arrival of goods
- Warehouse receipt without a renewed reconciliation, since the data is already available.
- Faster transition to the next work process.
Posting and further processing
- Recording and assignment of goods.
- If necessary, corrections and consultation with purchasing.
Roles
- Warehouse receipt employee: Recording and processing of the warehouse receipt.
- Purchaser: Checking and early clarification of discrepancies.

- Source documents: Purchase orders, inbound stock post orders (3PL), returns, and transfer orders.
- Warehouse receipt: Central document for documenting the delivery.

No special system setup is required for the pre-advised warehouse receipt.
Process Integration
When a delivery is pre-advised, the warehouse receipt can be recorded directly in the system without a manual reconciliation on arrival. This leads to faster availability of goods and minimizes delays. Through early pre-advice, possible discrepancies can be clarified with purchasing before the truck or container arrives.
Variants
- Manually pre-advised warehouse receipt: Direct recording by employees.
- Automatically pre-advised warehouse receipt: Transfer via DESADV or the delivery portal.
- Recording of document lines: Retrieval of relevant order data, filtering by specific criteria (e.g. mobile WR with/without GS1).
